How to: Set up WhatsApp Business on multiple employee smartphones

Follow the steps described to use the WhatsApp Business account on multiple employee smartphones at the same time:

  1. First, you need to make sure that you have the latest version of the WhatsApp Business app installed on all the devices you want to use the account on.
  2. Open the app on your main device and go to "Settings" > "Linked devices". On some devices, the "Linked devices" selection is also displayed directly as a menu item next to "Settings".
  3. Scan the QR code displayed on the screen with your other device.
  4. Once you scan the QR code, your WhatsApp Business account will be automatically activated on the other device.
  5. Repeat this process for all employee smartphones on which the account is to be used. The maximum number is currently limited to 4 devices.



How to: Set up WhatsApp Business on desktop PCs or laptops of your employees


Setup with Windows operating system

The Windows Desktop application must be downloaded from the Microsoft Store at the beginning. The desktop application works only with Windows 8.1 operating system or higher.

After the application has been downloaded, it has to be started and the setup process has to be performed. After a while, a QR code will appear here as well. The following steps must then be taken:

● Open WhatsApp business app on smartphone

● Open the menu (Android) or the settings (iOS).

● Select "Add device" to open the QR code scanner

● Scan the QR code on the computer screen


Setup with macOS operating system

WhatsApp Desktop can also be installed on Apple computers. The application can be downloaded from the App Store, and the setup is identical to the Windows app.

Download the application, launch it and perform the setup process. After a while, a QR code will appear. The following steps must then be taken:

● Open WhatsApp business app on smartphone

● Open the menu (Android) or the settings (iOS).

● Select "Add device" to open the QR code scanner

● Scan the QR code on the computer screen

This way, WhatsApp Desktop can be used by multiple employees on both Windows and macOS devices.

Tip: To remove linked WhatsApp multi-device devices of your employees, you have to select the device of the respective employee to be removed in the WhatsApp settings under the menu item "Linked devices" and then click on "Log out".

Use WhatsApp Business Premium with multiple employees

For a few months now, WhatsApp has been making additional functions available to some selected companies with the Premium version. WhatsApp Premium can be subscribed to for a fee after the free 30-day trial period. However, this feature is so far only available for Android users and only in certain countries. You can find out about the current availability of WhatsApp Business Premium on WhatsApp 's homepage. With WhatsApp Premium, instead of the maximum of 5 employees or devices (1 main device + 4 other devices), up to 10 employees can now use the same WhatsApp account. With WhatsApp Premium, it is even possible to track which employee sent which message. In addition, chats can be assigned to the responsible employees. Thus, WhatsApp Premium offers some additional features, but WhatsApp newsletter marketing and an unlimited number of users, devices and numbers as with the WhatsApp API are not available.
